In short
Explain what the information is for, what identifies the person, who can access it and when it is removed. Replace abstract terms with the concrete details supplied: seules les deux coordinatrices y ont accès is clearer than leaving accès restreint unexplained.
Yellow the idea to rememberBlue French to learn

The notice for a workshop says that first names and email addresses are used only for feedback, accessed by two named coordinators and deleted one month after feedback is sent. Your task is to explain those terms faithfully. Keep only, the named access group and the starting point of the retention period.
Purpose
Terms: the list is used only to organise feedback.
Identifiable information
Terms: first name and email address are retained.
Access
Terms: two named coordinators can access the list.
Retention
Terms: the list is deleted one month after feedback is sent.
Make the wording simpler, not broader
Finalité becomes à quoi cela sert. Données identifiantes becomes the actual information kept. Durée de conservation becomes a time rule with a clear starting event. These changes help a non-specialist understand the arrangement. They should not replace “one month after feedback” with “one month after registration”, which would be a different period.
If the participant asks about a use the notice does not mention, say what you need to check: La notice ne précise pas ce point ; je vais demander une confirmation. A clear explanation can leave a precise question open rather than filling it with an unsupported reassurance.
