You welcome visitors at an association’s exhibition. You are scheduled for Saturday afternoon, but have a personal appointment. Read the full exchange, then hide your lines with “Practise your part” and answer the coordinator aloud.
- Coordinator
English
Hello, you wanted to talk to me about Saturday’s rota?
- You
Oui.
Name the affected shift, give a brief reason and request a change.
English
Yes. I won’t be able to cover reception on Saturday afternoon because of a personal appointment. Would it be possible to change my slot?
- Coordinator
Vous seriez disponible à un autre moment ?
English
Would you be available at another time?
- You
Offer morning availability and offer to ask two volunteers.
English
I could come in the morning. I can also contact two volunteers to find out whether either is free in the afternoon.
- Coordinator
English
The morning is already covered. I mainly need someone from 2 to 6 pm.
- You
Respond to the actual staffing gap and adjust your offer.
English
I understand. Coming in the morning would therefore not solve the problem. I’ll first ask the two volunteers whether they can cover that slot.
- Coordinator
Quand pourrez-vous me transmettre leurs réponses ?
English
When will you be able to pass on their replies?
- You
Propose an update time you can meet even with incomplete replies.
English
I’ll update you tomorrow before midday, even if I haven’t received all the replies yet. Does that suit you?
- Coordinator
Oui.
English
Yes. But wait for my agreement before confirming a change with an available volunteer.
- You
D’accord.
Recap your action, the deadline and the remaining approval.
English
Agreed. I’ll pass on the replies tomorrow before midday, then wait for your agreement before confirming the replacement.

Try a new coordinator reply
- The coordinator asks for an update tonight. I propose a time I can meet.
- Neither volunteer is free. I report that clearly and ask what we can try next.
- One volunteer says yes. I pass on the reply and ask the coordinator to confirm the change.
