Keep the purpose and change the arrangement causing the problem. Here the drawings can stay on display, while the sketchbooks move to a room available after the show. Finish by asking whether the revised plan suits the organiser.

The first proposal: display the work while people wait
I suggest hanging our drawings on the corridor panels during the club celebration. Visitors could look at them before the show. We could put a small table in front of each series to present the preparatory sketchbooks.
We are interested in exhibiting the drawings. However, the tables would make the passage too narrow. Could you suggest a display that keeps the corridor clear? The small room will be available after the show, but not before.

Bonjour,
